Section 01Agreement to these terms
By booking or using Lightning Limo LLC ("Company," "we," "our," or "us") services, you ("Client," "you," or "your") agree to these Terms & Conditions, together with our Cancellation Policy and Privacy Policy, which form part of this agreement.
If you book on behalf of someone else, you confirm that you are authorized to accept these terms for every passenger in your party. You remain responsible for payment and for your party's conduct.
Section 02Who we are and what we provide
Lightning Limo LLC is an Indiana limited liability company founded in 2012, located at 3521 Guilford Ave, Indianapolis, IN 46205. We are licensed and insured, hold active USDOT interstate operating authority, and are an authorized ground transportation provider at Indianapolis International Airport.
We provide chauffeured ground transportation: airport transfers, point-to-point transfers, hourly and as-directed charters, corporate and event transportation, and group transportation in sedans, luxury SUVs, and Mercedes Sprinter vans. We are a private charter carrier, not a taxi, rideshare, or public transit service. All service is by advance reservation.
Section 03Reservations and confirmation
- All bookings require a valid credit card on file.
- A reservation exists only when we confirm it by email or text. A submitted request, an online quote, or a voicemail is not a confirmed reservation.
- Quotes are estimates based on the details you provide — addresses, times, passenger count, and vehicle type. Changes to any of those may change the price. Quotes are subject to vehicle availability at the time you accept.
- Review your confirmation. Check the date, time, addresses, flight number, and vehicle type, and tell us right away if anything is wrong. We perform the trip as confirmed.
- We may decline or cancel a reservation where we cannot safely or lawfully perform it, where payment cannot be secured, or where a passenger has previously violated these terms.
Section 04Payment and card authorization
- We accept all major credit cards. Full payment may be required at the time of booking or upon completion of service.
- We may pre-authorize charges before service. A pre-authorization is a hold, not a charge, and is released by your bank, typically within a few business days.
- Providing a card authorizes us to charge the fare, gratuity, applicable surcharges, cancellation and no-show fees, wait time, tolls and parking, and any cleaning or damage charges arising from your trip.
- Card payments are processed by a PCI-compliant payment processor. We do not store full card numbers — see our Privacy Policy.
- Corporate accounts on approved billing terms are invoiced as agreed. Past-due balances may accrue a service charge of 1.5% per month, or the maximum permitted by Indiana law if lower, plus reasonable collection costs.
- Declined cards or failed payments may result in cancellation of pending and future reservations.
- If you believe a charge is wrong, contact us within 30 days and we will review the trip record with you. Please contact us before filing a chargeback — most billing questions are resolved the same day.
Section 05Rates, fees, and extra charges
Your quote states the base fare. The following may be added where they apply, and are disclosed before or at the time they are incurred wherever possible:
| Charge | When it applies |
|---|---|
| Gratuity | Customary at 20% of the fare. Included in some quoted rates — your confirmation states whether it is. |
| Tolls, parking, airport fees | Passed through at cost when incurred for your trip. |
| Wait time | After the free period in Section 08, billed in 15-minute increments at the vehicle's hourly rate. |
| Additional stops | Stops not on the confirmed itinerary, charged per stop or by added time and mileage. |
| Extra hours | Hourly charters running past the booked duration. |
| Special event pricing and minimums | See Section 06. |
| Cleaning and damage | See Section 14. |
| Deadhead mileage | Long-distance and out-of-area trips requiring return travel, quoted in advance. |
Hourly and as-directed charters bill continuously from the scheduled start time to the release time, including meal stops and waiting periods, whether or not the vehicle is moving.
Section 06Special event pricing and hourly minimums
Special event pricing may be in effect starting 24 hours before a major event and continuing for 24 hours after it. During these periods, pricing may be higher and a minimum number of service hours may apply, even if your trip is not going to or from the stated event.
A major event is generally designated as one with national media coverage, including but not limited to: the Indianapolis 500, the World Cup, PGA and LIV Golf events, major sporting events, sold-out concerts, REV, and Zoobilation.
There are no refunds on cancellations made after the 7-day mark prior to the start of the trip or reservation during a special event period. This deadline replaces the standard 24- and 48-hour cancellation deadlines in Section 07.
Section 07Cancellations, refunds, and no-shows
- Sedans and SUVs: cancel at least 24 hours in advance for a full refund.
- Sprinter vans and buses: cancel at least 48 hours in advance for a full refund.
- Special event periods: cancel at least 7 days in advance — see Section 06.
- Late cancellations incur the full charge. No-shows are billed in full, plus any accrued wait time.
Full details — how to cancel, what counts as a no-show, flight cancellation handling, refund timing, and what happens if we cannot complete a trip — are in our Cancellation Policy, which forms part of these terms.
Section 08Waiting time
- Regular pickups: 15-minute grace period from the scheduled pickup time.
- Airport pickups: 45 minutes of free wait for domestic arrivals and 60 minutes for international arrivals, measured from actual landing time.
- Additional wait time is billed in 15-minute increments at the vehicle's hourly rate.
- Tolls, parking, and airport access fees incurred during a wait are passed through at cost.
Chauffeurs cannot leave a vehicle unattended at airport curbside. For meet-and-greet service inside the terminal, request it at booking.
Section 09Luggage and belongings
- We are not responsible for lost or damaged personal items. Passengers are responsible for their belongings at all times. Chauffeurs assist with loading and unloading as a courtesy.
- Disclose excess or oversized luggage during booking — including golf clubs, skis, instruments, and equipment cases — so we assign the proper vehicle.
- We are not responsible for luggage left behind because the confirmed vehicle could not physically accommodate items not disclosed at booking.
- Hazardous, illegal, or prohibited items may not be transported.
Section 10Passenger capacity
Vehicles are booked for a stated passenger count. We cannot legally or safely exceed a vehicle's seating capacity, and every passenger must have a seat belt. Additional passengers who appear at pickup may be refused, and the trip may be charged in full.
Section 11Child safety seats
We strongly encourage appropriate child restraints for young passengers. Where state law exempts for-hire and livery vehicles from child restraint requirements, that exemption does not change our recommendation.
- Request a child seat at booking. Where we can provide one, availability and any fee are confirmed in advance.
- Client-provided seats are welcome. For safety and liability reasons, the parent or guardian must install and secure the seat; chauffeurs may assist with lifting but do not install or certify installations.
- We are not liable for the fit, condition, or installation of a client-provided restraint.
Section 12Accessibility and service animals
Tell us about mobility, medical, or accessibility needs when you book so we can assign a suitable vehicle and allow time. Folding wheelchairs, walkers, and similar mobility devices are accommodated in most of our vehicles. We do not currently operate wheelchair-lift-equipped vehicles; where we cannot serve a request directly, we will help you find an operator who can.
Service animals are welcome in all vehicles at no charge. Pets are permitted in a carrier with advance notice; a cleaning fee may apply if the vehicle requires additional cleaning.
Section 13Passenger conduct
Our chauffeurs are professionals and are entitled to a safe workplace. Passengers must wear seat belts, remain seated while the vehicle is in motion, and follow the chauffeur's reasonable safety instructions.
The following are prohibited in all vehicles:
- Smoking, vaping, and open flame — all vehicles are non-smoking
- Illegal substances and any illegal activity
- Underage drinking. Alcohol may only be consumed by passengers 21 or older where permitted by law, and never by the chauffeur. Where any passenger is under 21, alcohol is prohibited entirely, and the adult who booked the trip is accountable.
- Standing through sunroofs, hanging out of windows, or similar behavior
- Harassing, threatening, or abusive behavior toward the chauffeur or other passengers
- Weapons, except as permitted by law and disclosed in advance
Chauffeurs may end a ride without refund for unsafe or unlawful conduct. Passengers are discharged at a safe location, and applicable damage or cleaning charges still apply.
Section 14Damage to vehicles and cleaning
Passengers and the person who booked the trip are jointly responsible for all damage caused to the vehicle during the trip. This includes but is not limited to scratches, dents, tearing of seats or interior fittings, broken glass, and stains or soiling from drinks, chemicals, or any fluids.
| Situation | Charge |
|---|---|
| Excessive cleaning — spills, stains, soiling, or biohazard | $300 minimum |
| Smoking or vaping in a vehicle | $300 minimum, plus any additional deodorizing cost |
| Damage to interior, upholstery, trim, glass, or bodywork | Actual repair or replacement cost |
| Lost revenue while the vehicle is out of service | The vehicle's hourly rate for the time required |
Charges are billed to the card on file. We document damage with photographs and provide them on request before charging.
Section 15Service delays and force majeure
We are not liable for delays due to traffic, weather, road conditions, or force majeure. In the case of mechanical failure, a replacement vehicle or a refund may be offered at our discretion.
We build reasonable time into every pickup and monitor traffic and flight status, but we cannot guarantee arrival at a specific time. Please allow adequate time for airport departures, weddings, and time-critical events — we recommend arriving at IND at least two hours before a domestic departure and three hours before an international departure, and we will advise a pickup time on request. Where a passenger declines our recommended pickup time, we are not responsible for a missed flight or event.
Section 16Vehicle substitution and affiliate operators
We reserve the right to substitute a comparable or upgraded vehicle when the reserved vehicle becomes unavailable due to mechanical issues, accident, or scheduling. Substitution is not grounds for cancellation without charge if the replacement meets the confirmed passenger and luggage capacity.
For trips outside our service area, or when our fleet is fully committed, we may assign the trip to a licensed, insured, and vetted affiliate operator. We remain your point of contact and remain responsible for billing. Chauffeurs may be employees or independent contractors; all are background-checked, drug-tested, and appropriately licensed.
Section 17Lost and found
Call or text (317) 531-5212 as soon as you notice something missing. Found items are logged and held securely for 30 days. We will arrange pickup at our office or ship the item at your cost. As stated in Section 09, we are not responsible for lost or damaged personal items and cannot guarantee recovery. Perishable, hazardous, and unclaimed items are disposed of after the hold period.
Section 18Insurance and limitation of liability
We maintain commercial automobile liability insurance meeting or exceeding the requirements for our operating authority. A certificate of insurance is available on request for corporate clients and venues.
We are not liable for indirect, incidental, or consequential damages — including missed flights, missed connections, missed events, lost business, or the cost of alternate transportation. Our maximum liability is limited to the amount paid for the specific service.
Nothing in these terms limits liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot lawfully be limited. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.
Section 19Indemnification
You agree to indemnify and hold harmless Lightning Limo LLC, its owners, employees, contractors, and affiliate operators from claims, damages, losses, and reasonable costs arising from your breach of these terms, from damage caused by you or your party, or from illegal or prohibited conduct during a trip you booked.
Section 20Text messaging consent
By providing your phone number and clicking "Submit," you agree to receive automated text messages (for example, booking confirmations, driver updates, and promotional offers) from Lightning Limo at the number provided. Consent is not a condition of purchase. Msg & data rates may apply. Msg frequency varies. Reply STOP to unsubscribe at any time.
- Reply HELP to any message, or call (317) 531-5212, for assistance.
- Opting out may prevent us from reaching you about a pickup.
- Delivery is not guaranteed and depends on your mobile carrier. Carriers are not liable for delayed or undelivered messages.
- How we handle mobile opt-in data is described in our Privacy Policy.
Section 21Privacy
We use your personal information solely for booking, communication, and legal compliance. We do not sell or share your data without consent, unless required by law. Our full Privacy Policy explains what we collect, how long we keep it, who we share trip details with, and how to request access or deletion.
Section 22Use of this website
- Site content, including text, photography, pricing tools, and the Lightning Limo name and logo, is our property or licensed to us and may not be copied, scraped, or reused commercially without written permission.
- Prices shown by our quote tools are estimates generated from the details entered and are not offers or guarantees until we confirm the reservation.
- You may not use the site to submit false reservations, interfere with its operation, attempt unauthorized access, or run automated collection tools against it.
- We work to keep information accurate but do not warrant that the site is error-free or continuously available.
Section 23Governing law and disputes
These terms are governed by Indiana law. Any disputes will be handled in the state or federal courts located in Marion County, Indiana, and both parties consent to that venue.
Talk to us first. Before starting any formal proceeding, please contact us in writing describing the issue and the resolution you are seeking. We will respond within 30 days. Nearly every dispute we have ever had was resolved this way. Either party may bring a qualifying claim in Indiana small claims court rather than in a general civil action.
Section 24Changes and general provisions
- Changes. Terms may be updated at any time. Continued use of our services implies acceptance of any changes. The version in effect on the date you book governs your reservation.
- Entire agreement. These terms, the Cancellation Policy, the Privacy Policy, your written confirmation, and any signed charter or corporate agreement form the entire agreement between us.
- Order of precedence. A signed charter or corporate service agreement controls where it conflicts with these terms. Within these terms, the special event provisions in Section 06 control over the standard cancellation deadlines in Section 07.
- Severability. If any provision is held unenforceable, the rest remains in effect.
- No waiver. Not enforcing a provision on one occasion does not waive it later.
- Assignment. You may not transfer a reservation to another party without our consent. We may assign a trip to an affiliate operator as described in Section 16.
